About the Job:
CareNational, a leading medical management recruitment and staffing organization, is currently looking for a Executive Assistant for an expanding health plan in Los Angeles, CA.
You will be responsible for diversified administrative duties, coordination of appointments and scheduling, and the establishment of appointment priority.  This includes making any required arrangements for meetings, presentations, and conferences.
Executive Assistant Job Summary:  
  • Performs diversified administrative duties, coordination of appointments and scheduling; establishment of appointment priority.
  • Makes arrangements required for meetings and conferences, including, space, time, materials, agendas, refreshments, visual aids, coordinates logistics for visitors, etc.
  • Documents and organizes all important information to enable accessibility by senior vice-president.
  • Ensures daily operation processing works effectively; anticipates problems and initiates administrative controls as necessary. Maintains the highest confidentiality of information emanating in and out of the senior executive’s office.
  • Screens calls and may research issues and provide responses.
  • Triages, investigates and addresses general and first line complaints made to the senior executive manager’s office.
  • Responsible for invoicing through PeopleSoft and Concur.
  • Responsible for maintaining and updating Executive Organization charts.
  • Responsible for the development and maintenance of filing and record keeping system, follows up and initiates action on pending matters.
  • Receives and distributes mail; ensures outgoing mail is appropriately prepared for external delivery.
  • Organizes and expedites flow of work through office and initiates follow-up actions.
  • Maintains balance of productivity, quality and timeliness of job duties.
Executive Assistant Background Profile:
  • Requires an education level of at least a 2 year (Associates) Degree.
  • At least 10 years of demonstrated success in providing administrative support to executives.
  • Around 7 years of executive administrative experience, including at least 2 years of supporting C level executives.
  • Experience handling heavy travel and associated expenses.
  • Exceptional verbal and written communications skills.
  • Excellent customer service, time management and organizational skills.
  • Computer skills to include high proficiency with Microsoft Word, Excel, PowerPoint and Outlook.as well as the ability to learn new and complex computer system applications.
  • Type around 60-75 Words Per Minute with High Accuracy. (You will be tested for typing speed and Microsoft Office Proficiency)
